How this situation might have been avoided

This situation might have been avoided by transparently disclosing my contacts with Mr. Sharma with both other bidders and my organization.
Also, I should have offered to recuse myself from the bidding process if any of the stakeholders have any issue.
This is inline with the tenets of Principles of Natural Justice which argue that no one should be judge of own cause.
If after disclosing my position, no party caused have placed any objection, then I should have gone ahead with bidding process.
